3CX Communications System at The Grafton Hotel

“The Grafton Hotel opened its doors and welcomed its first guests in September 2019. Formerly The Grafton Capital Hotel, the hotel has undergone significant renovation over the past two years. With investment in excess of
€20 million, The Grafton is one of Dublin’s most exciting and innovative hotel projects, and is the first instalment in a series of hotel projects by The Mandrake Collection. 

The Grafton boasts 127 brand new rooms with eclectic decor reminiscent of design highlights from the 1920’s married with modern and state-of-the-art fixtures. The Grafton is home to the trendy late-night venue, The Scaredy Cat, one of the nightlife hot-spots in Dublin, with the city’s newest dancefloor! 


The Requirement:

The Grafton Hotel was undertaking a complete refurbishment and increasing bedroom count to 127. They required a new CRM phone system to manage operational calls and sales bookings.  The project included the ordering and installation of new phones in business areas, bars and all guest bedrooms. 

The SenSys Solution:

The installation of a 3CX communications system to support reservations and running a busy customer focussed hotel in the centre of Dublin city.  New IP phones.

The Implementation:

SenSys liaised with Hotel personnel, the hotels’ refurbishment project management team and appointed electrical contractor to coordinate and schedule the CRM installation.

Our team pre-configured the phones prior to installation on-site enabling a smoother project dovetailing with the electrical contractor for the new build and connecting with their new CAT 5 cabling.

A new server was installed on-site in the comms room.  Switches were then configured in the comms cabinet.

Remote Office

The hotel management remote office phone system connected to the main hotel using the 3CX session border controller (SPC)

PMS Integration & Information for customer greeting

Integrating with the PMS system, upon visitor check-in, the customer name will be pushed to the room facilitating a personalised customer service greeting. Originally the system was to integrate with Hotsoft PMS but laterally this was changed to, Techotel.dk.

Messages Recorded

Custom auto attendant / IVR digital receptionist messages recorded by SenSys Technology.

Custom on-hold music

SenSys created Celtic style custom on-hold background music for the Grafton Hotel.  The music was then programmed into the 3CX system.

Web client & Mobile App

Having access to the web client and mobile app ensured that communication could continue remotely during Covid-19 lockdown. Calls were rerouted during this time. For example, the night porter could use the mobile app as he conducted his patrols.


SenSys trained a staff member at The Grafton Hotel to train their own staff in the use of the 3CX system.

The call queue was routed to overflow in order service incoming calls during busy times rather than lose them.

Our technical team pre-configured 130 bedroom phones prior to installation.  Various phone mounts were installed to suit the room style.
10 Yealink phones for admin areas which allowed for connecting reception, housekeeping, back office, food and beverage – bar, coffee dock.  All phones connected to the new hotel 3CX system.

Hotel bedroom phones were preconfigured with four custom speed dials for the reception, housekeeping, bar and room service/kitchen.
